Terms and Conditions for the Hire of Football Pitches

1. Fees and Charges

A charge will be made in July for hiring the pitch, changing room, and associated facilities for the forthcoming season. It is mandatory that all signed players for  **Football  Club  are enrolled as LRC members. These members are bound by a separate agreement covering the rules and subscriptions of the LRC. Payment should be made to the LRC membership secretary.

All invoices for pitch hire must be settled by the end of the month following their issue. BACS payment details are included in the invoice.

If an invoice remains unpaid for more than 30 days after the due date, the right to use the pitch and facilities will be forfeited. In such cases, the pitch will be allocated to the next team on the waiting list. All fees and charges are reviewed annually and may be revised at the absolute discretion of the Parish Council.

2. Use of Pitches

Pitches for regular use on Saturdays or Sundays will be allocated in June for the new football season. Teams wishing to use a pitch must apply before 30 April to the Parish Council Office, giving details of their preferred day of play or hire along with a fixture list if possible. If a fixture list is not available at the time of application, it must be presented before the first match of the season. Any matches not listed on the fixture list are not authorised and must be booked as a casual hiring at additional cost by agreement.

Under no circumstances should a team attempt to secure a pitch without prior booking and payment in full.

A designated storage area will be made available and charged for the season. This arrangement is consecutive and will cease if the terms agreement lapses or fees are unpaid. Any property held in this area must be removed within 28 days. Property remaining after this period will be deemed donated to Leconfield Parish Council for disposal.

The pitches are solely for football and must not be sub-hired or used for any unlawful purpose, nor should anything be done that may endanger the pitch or invalidate insurance policies.

No team may use the pitch without authorisation from Leconfield Parish Council. The use of a pitch cannot be assigned; individual teams must obtain separate authorisation, even if they are part of the same club.

Applications for one-off or charity matches must be made in writing to the Parish Council.

2b Pitch Maintenance

(a)General pitch maintenance and pre-match preparation are the responsibility of the named individual; all associated costs remain with them.

(b) Whitening the touch lines is the responsibility of the football team scheduled to play the next match, as listed in the league table. Leconfield Parish Council will provide a line marking cart and marking paint for use on the recreation grounds. Toxic products must not be added to the paint under any circumstances.

 

3 Kitchen, Changing Rooms, and Toilets

These facilities will be made available to **Football Club. The club is responsible for the changing rooms.

The security of the changing rooms is the responsibility of the Hirer. Leconfield Parish Council accepts no responsibility for loss, theft, or damage to equipment or personal items. It is recommended that changing rooms are locked during play.

Changing rooms and toilets must be left in a good state of cleanliness. All football boots should be removed before entering the building

4. Insurance

All teams must hold the relevant insurances. A copy of the appropriate insurance schedules must be provided to the Parish Council Office before the first match of each season.

5. Health and Safety

Hirers should be aware of other users of the recreation ground and ensure that spectators and players behave safely and responsibly. No alcohol is to be consumed on the premises at any time, and urinating in hedgerows is strictly forbidden.

In case of accident or emergency, the hirer should contact emergency services. They should be advised that a universal padlock is fitted to the barrier and that emergency services hold the appropriate key for access.

Any accident or dangerous occurrence must be reported to the Parish Office as soon as practicably possible. An accident record is maintained by the Parish Clerk in accordance with the Data Protection Act 1998.

Hirers running activities involving children and young people with paid employees or volunteers must declare that a Child Protection Policy is in place and CRB checks are updated regularly. All club officers involved with youth teams must provide their CRB and coaching certification with this document.

6. Car Parking

Parking is not permitted on the grass. Players are encouraged to car share to reduce the number of vehicles using the car park.

7. Cancellation of Matches

Leconfield Recreation Club reserves the right to cancel a match at any time, although every effort will be made to avoid this. The Parish Council will not be liable for any expenses, costs, or losses incurred by the Hirer in relation to termination.

The Hirer may cancel a match at any time, but notification must be made prior to the date of the match to the Parish Council.

 

 

8. Termination of Hire

The Hirer may relinquish the right to use the allocated pitch and facilities at any time by presenting written notice to the Parish Council Office along with payment for any outstanding invoices. No refunds will be made for fees and charges already paid.

The Parish Council reserves the right to terminate any agreement with the Hirer, including the right to use pitches and facilities, if any of these rules are breached or payment is defaulted.

9. Liability

The Hirer is responsible for all loss, damage, and claims arising out of this agreement.

10. Complaints

The Parish Council wishes to be notified of any complaints or problems regarding the use of pitches, changing rooms, or toilets. All correspondence should be addressed to : clerk@leconfieldparishcouncil.gov.uk

11. Application of Terms and Conditions

It is the Hirer’s responsibility to ensure that all players and spectators associated with their team, and those of their opponents at each match, are advised of these terms and conditions. All visitors and visiting away teams wishing to use the Leconfield Recreation Club must be signed in the visitors’ book. Note that no dogs are allowed within the Leconfield playing fields perimeter. Leconfield Parish Council may vary these terms at any time ,providing 28 days’ notice of change.

This stipulation does not apply to team members under the age of 18.

Lec PC refers to Leconfield Parish Council.

LRC refers to Leconfield Recreation Club.

  • Coaching Licence
  • First Aid Certification
